Sunday Hospitality

Ministry Description:

As people arrive on Sunday Morning, we want to create an environment that is sincerely welcoming, joyful, loving, and service-oriented, blessing our church family, and visitors.

Volunteer Positions/Number of Volunteers needed:

Door Greeters/2 volunteers at Door C and D each Sunday (16 volunteers needed monthly, addt’l for 5th Sundays)

  • Greeters should be at the doors no later than 10am on Sunday.

  • In the summer, stand outside the doors

  • Welcome everyone

  • If someone arrives that you do no recognize, ask if they are visiting with us

  • Escort them to the Information Desk

  • Return to the door

Information Desk Volunteers/2 volunteers each Sunday (8 volunteers needed monthly, addt’l for 5th Sundays)

  • Attendants should be in place by 10am and for 15 minutes after worship

  • One volunteer remains at the counter to answer questions

  • The second volunteer mingles, with an eye for visitors, and can serve as an escort to help newcomers as needed

  • As the opportunity presents itself, engage in simple conversation, introduce to others, etc.

  • Keep the counter free of clutter.

  • Hand out welcome packets to newcomers. Keep at least 6 packets on hand.

Coffeemakers/1 volunteer each Sunday (4 volunteers needed monthly, addt’l for 5th Sundays)

  • Coffee service for the adult Sunday schools and the coffee room should be in place by 9 a.m.

  • Flex Space (aka Library): One pot hot water, 2 pots regular coffee, 2 carafes iced water. Plus, tea caddy, cups, condiments, napkins, covers, many of which are in the adjacent storage room.

  • Encourage everyone to consume food inside the room.

  • After worship, keep coffee service available for 10 minutes.

  • In the Fellowship Hall: One pot of regular coffee, one carafe of hot water, tea caddy, carafe iced water, cups, condiments, napkins, cup covers, paper plates and forks.

  • Third floor Lobby: Use the rolling cart in the kitchen, prepare 1 pot hot water, 2-3 pots regular coffee, 2 carafes of iced water. Inside the cart, replenish if needed, tea caddy, condiments, cup covers, insulated cups, cold cups, paper plates. Take the cart up to 3rd floor. If coffee is left over after Sunday School, put it in the Flex Space.

  • Check to see if Flex Space needs more supplies before worship.

  • Rinse pots and put away in the kitchen.

ERT (Emergency Response Team):

Ministry Description:

Provides the ability to respond to emergency situations inside and outside church building. This ministry consists of four teams made up of a lead and two guardians. All team members plus alternates are trained in CPR, AED, first aid, and de-escalation techniques. They are also the first point of contact with emergency personnel.

Volunteer Positions/Number of volunteers needed (12 – 15):

a. Director (1) Responsible for budgeting, training, scheduling and submitting the annual report. Additionally, the director will review and update policy and procedures and provide leadership to the ERT ministry.

b. Lead (4) Determines how their team will be deployed on duty, provide any threat briefings to the on-duty team, and ensure the ERT is deployed properly in accordance with church ERT policy and procedures.

c. Guardians (8-10) Provides a security and first aid response; additionally, can be deployed inside or outside the church building and provides a presence by roving patrols on church grounds.

Expectations:

a. A rotation schedule will be maintained by the ERT director(s).

b. Duties will be flexible and will be need-based on any given day.

c. All members of the ERT ministry should check-in to the on-duty Lead, whether they are scheduled to be on-shift or off-shift.

d. On-duty ERT members will wear a designated badge, identifying them as an ERT member.

e. On-duty ERT members will be issued a radio from the ERT Office. All ERT members should have paper and pen available or cell phone to take notes.

f. Off-duty ERT members will provide back-up to on-duty ERT.

g. Each shift should have a moment of prayer.

h. ERT members will be briefed of recent events, potential threats to the church, and receive their shift assignments while on duty by the on-duty ERT Lead.

i. A radio check and review of panic button procedures for the radios will be conducted.

j. The ERT on-duty Lead will ensure the nursery and the second floor kids ministry check-in desk have radios and that they are turned on, as well as provide assistance with radio procedures to children’s ministry workers.

Time Commitment:

Each team will serve one Sunday a month with fifth Sundays covered by the alternates and/or the regularly scheduled team members. The start time is 45 minutes prior to a protected event and typically ends 45 minutes after the last event. A typical Sunday will require the on-duty team members to serve three and a half hours, running from 8:45 AM – 12:15 PM.

Ushers:
